WHO WE ARE
One Hundred Berlin Creative Retouching GmbH is a leading full-service post-production studio based in Berlin, providing premium photo and film services for high-profile clients. We are seeking a highly structured and proactive Executive Assistant to support our CEO and core business operations.
Your tasks
Tasks
YOUR ROLE As an Executive Assistant, you will be the organizational backbone of the office. You will support the CEO and team across administrative, financial, and HR matters with precision and care. Your ability to multitask, stay calm under pressure, and maintain strict accuracy will be key to your success.
Requirements
WHAT YOU’LL DO
- Provide structured executive support to the CEO (scheduling, travel, meeting prep)
- Oversee and organize office administration and daily operations
- Handle financial admin: invoice preparation, payment tracking, accounting prep
- Support tax, finance, and insurance-related tasks with attention to compliance
- Coordinate HR processes: recruitment, onboarding, offboarding, contract management
- Manage confidential information with discretion
- Coordinate internal meetings, external events, and team communications
- Liaise between CEO, team members, and external partners
WHAT YOU BRING
- Proven experience as an Executive Assistant, Office Manager, or similar role
- Exceptional organizational skills and a structured, multitasking mindset
- High level of accuracy and attention to detail — you double-check facts, legal terms, and contractual obligations
- Proficiency in German and English (C1 level)
- Strong knowledge of MS Office, administrative tools, and finance basics
- Openness to feedback with a genuine growth mindset
- Curiosity for emerging technologies, especially AI tools that enhance workflows
- Reliability, self-initiative, and a solution-oriented attitude
- Appreciation for creative industries (fashion, photography, art) is a plus
