The Perceiving Systems Department (PS) at the Max Planck Institute for Intelligent Systems (MPI-IS) in Tuebingen is looking for an
Executive Assistant (m/f/div)
50–100%, to cover maternity / parental leave,
to assist the department’s director and to support our administrative and organizational team.
You will work as part of a team supporting the department’s director as well as the international team in all administrative and organizational matters. This includes schedule coordination and monitoring, preparing meetings, planning and organizing meetings, workshops, and retreats, updating webpage content, independent processing of emails and correspondence, interfacing with the administration with regard to financial and personnel matters as well as routinely performing independent work in both English and German. You will be working with a diverse group of scientists ranging from student interns, Ph.D. recruits, Ph.D. students, Postdocs, and faculty members coming from all over the world. You will support all PS members in non-scientific matters. You will do various translations German-English and vice versa, orally and in written form, and you will support drafting letters and invitations. Answering the phone will be part of your job as well as supporting purchasing, travel preparations, guest support as well as providing the infrastructure for new team members at all levels from office preparation to paperwork.
You are a service-oriented, friendly and sociable person with intercultural competence, who enjoys solving problems and being a member of a dynamic international team. You thrive when you can help and support others. You should have completed your training as a foreign-language secretary or hold an equivalent qualification. A minimum level of C1 is required in written and spoken English and German, including the ability to translate documents between these two languages. English is the main language at the department. Previous work experience in an academic or research environment would be advantageous. You are a proficient user of the standard office software. You are expected to be flexible, independent, diligent, and reliable, with a talent for organization. This position requires the ability to work independently across a variety of organizational structures including the Max Planck Society, national and international universities, and government entities.
The MPI for Intelligent Systems is one of the world’s leading research institutions for machine learning, computer vision, and robotics. You will be a part of a young team of international scientists, engineers, and administrative staff. Salaries will be based on previous work experience according to TVöD guidelines. The position is offered as a parental leave replacement and is initially limited to two years with the possibility of an extension and can be filled for 50 to 100%.
